We read the appendix about font size.
Most federal notices set the font, margins, and line spacing somewhere past page 80. Reviewers may stop reading at the page cap. We count the pages, then count them again.

00 About the desk — Northport, NY
Nobody, usually. Not at a group with four paid staff and the boathouse key on a lanyard.
Kelpwood Ledger is a grant-writing desk at 18 Conifer Ct in Northport, NY. We read the notice twice — the second time with a red pencil — then research, write, budget, check, and submit the whole package for small nonprofits and coastal conservation groups. One writer per folder. One price per folder, quoted before the second read.

01 The roster
A Northport conservation group sent a strong foundation proposal: fourteen pages, a clean budget, a real project on a real beach. The board of directors list was not attached. The proposal never reached the review panel.
Nobody had been careless. Everybody had assumed somebody else attached it. That is the problem a checklist solves, and it is the reason Kelpwood Ledger exists at 18 Conifer Ct.
Incomplete — board of directors list not attached. The entire decline letter, one line long

| Wk 0 | Proposal submitted on deadline day.Fourteen pages. Attachments uploaded by three different volunteers. | — |
| Wk 9 | Decline letter arrives. One sentence. It names the missing roster. | The cycle |

| Wk 52 | Next cycle opens.Same project, same beach. Roster attached first. | 12 months |

02 Index cards
Each one is on a lined 3×5 card with a red header line. Each one is there because something went wrong once, somewhere, for someone.
Most federal notices set the font, margins, and line spacing somewhere past page 80. Reviewers may stop reading at the page cap. We count the pages, then count them again.
If a funder’s last three awards went to universities, your four-volunteer dune project is not the gap they are filling. We would rather lose the job than your spring.
Whoever is on your scoping call writes page one and page forty. Nobody new turns up in week four asking what a tern count is.
A flat price, quoted in writing. Commission grant writing is discouraged by the profession and refused by most funders. We agree with both of them.
Portals slow down on deadline day. We press Submit at least 72 hours before close and file the confirmation email inside the folder, front tab.
We quote it. We do not polish it. A reviewer can tell a survey sheet from a sales pitch, and the survey sheet scores better.
A seventh card gets written whenever a funder invents a new way to reject an attachment.

A typical Tuesday at 18 Conifer Ct, written down once so you know where your folder sits during the day.
Calls happen by appointment, mostly late morning. Email gets answered the same day it is read, which is the same day it arrives.
Claim a late-morning slotNot research. Habit. The fog is usually thicker than the forecast says.
Pencil only, appendices first. The scoring rubric gets copied onto its own index card.
Topic: why the cost match has to be committed in writing, not in spirit.
Waders again. Four pairs, four sizes, one sentence each explaining why.
The portal tab stays closed. It logs you out after an hour regardless.
The funder’s checklist in one window, the PDF in the other, a ruler on the printed proof.
Two business days is the promise. Same day is the habit.
Usually one task. Occasionally two. Never three.
04 Who it’s for
The desk is built for small rosters and real fieldwork. Here is the honest version of who fits, and who would be better served somewhere else.
Not sure which column you’re in? Twenty minutes on the phone settles it, at no charge.

Red pencilNotice only
For marking the funding notice. Never the draft — the draft gets tracked changes so you can see every edit.
Printed funder checklistPaper
Paper, because the portal logs you out after an hour and a printed page does not.
Beach stone, Northport HarborPaperweight
Holds the checklist flat. The window is open from May to October.
Steel ruler, 12 inchMargins
Margins get measured on the printed proof, not trusted on screen. Notices that ask for one inch mean one inch.
Lined 3×5 index cardsOne per folder
One card per active package, taped above the desk until the submission confirmation arrives. Then it goes in the folder.
Second monitorPortal left
Portal on the left, finished PDF on the right. Every field is checked against the page it came from.
Manila folders and twineYour copy
Every package ends as one tabbed folder, in the order the funder reads it. You keep it for the next cycle.

Three lines is all the first call needs. We’ll tell you which folder it takes and what it costs — usually inside twenty minutes.
